Re-Sort Master Name List in QuickBooks Desktop

Re-Sort Master Name List in QuickBooks Desktop

The “Master Names list” has names for customers, vendors, employees, and Other Names list that may occur. Although you can re-sort the customer, vendor or employees lists separately; it is recommended to sort all the items in this list together. The easiest way to perform this “catch them all” action is shown in the below steps.

You can re-sort the items for Windows in the three given ways:

From the Banking menu:

  • Go to the Banking menu
  • Select Write Checks/Cheques.
  • Select the “Pay to order of field” option
  • Then on the keyboard press Ctrl+L (it opens the master Name List.)
  • Click the Include Inactive checkbox. (Note: The box will gray out if there are no inactive names)
  • Select the option Name drop-down
  • Select Re-sort List.
  • Click OK on the prompt

From the Find window (in case you do not have Banking permissions):

  • Go to Edit
  • Go to Find.
  • Click the Advanced tab option
  • From the Filters list- select Name
  • Click on the Name field
  • Then on the keyboard, press Ctrl+L
  • Select the Include Inactive (Note: The box will gray out if there are no inactive names)
  • Select the Name drop-down
  • Select Re-sort List.
  • Click OK on the prompt

Perform the below to re-sort the name lists if the previous steps did not work.

  • Choose Company
  • Go to Make General Journal Entries.
  • Click the Name column
  • Then press Ctrl + L to view the Names List.
  • At the bottom of the list(select the Include Inactive checklist option)
  • Choose the arrow next to Name.
  • Select Re-sort List.
  • Click the OK option.
  • Close &reopen the company file

Re-sort Master Name List for QuickBooks MAC

  • Go to the Banking menu
  • Select Write Checks
  • Put the cursor in - Pay to the Order Of field.
  • Press and hold the Command / Apple key,
  • Press the L key and Master Name list
  • Ensure All Names option selected at the bottom of the list [alternatively in earlier versions of QuickBooks, Include Inactive is displayed at the bottom of the list]
  • Go to Edit again
  • Click Re-sort List
  • Click OK
