What To Do If QuickBooks Is Too Slow Due to Large File Size

A regular QuickBooks user might face the problem where QuickBooks files become too big and slow to operate. Working on such a slow system can be frustrating. The definition of “QuickBooks file too large” is not defined in QuickBooks. However, there is a point where your file size becomes too big and slowdowns start to happen, or QuickBooks start to crash. Due to large “QuickBooks file size limits”, the system can be slow and often get corrupted easily.

What can be the maximum QuickBooks file size?

Though there is no limit to the file size, however, you are getting into danger zone if your QuickBooks file size is around 150 MB. QuickBooks starts to max out around 1GB. These large files slow down the system speed.

Items Numbers that can be added in QB Company Files

According to the general rule of thumb, the total number of items must be less that 14,000 with QuickBooks Pro and Premier and the threshold should be 100,000 for Enterprise. In QuickBooks, you need to press the F2 key, by doing this, you will be able to count the items.

Causes of QuickBooks File too Large:

  1. Your item lists are old and reaching a maximum limit.
  2. A corrupted database and you are unable to fix it.

How to reduce QuickBooks file size?

Condense your file- The “condense” feature allows you to reduce QuickBooks file size by replacing transactions from the previous years with smaller monthly journal entries. You will notice that the details of the past year will be gone. However, the profit and loss statement and balance sheet will remain intact. A backup will exist for easy access to detailed data at any point in time.

Clean up Company Data- This feature removes old, closed transactions from your file. You can also remove the old unused customers and items. The clean-up feature also allows you to generate a new company file with all your list of items (customers, vendors, etc.). The file size is reduced to 50-80 % of the original size. Though for this you will have to manually re-create opening balances for all your accounts such as invoices, bills, inventory, bank accounts, etc.

Create a brand-new company file- This feature is the last option you might want to choose. You will need to re-create all the opening balances and your item lists. There can be scenarios where you decide to select this option.

Upgrade to QuickBooks Enterprise

If you are a Pro or Premier user, you can think of upgrading to Enterprise version. Switching to “Enterprise” will extend QuickBooks enterprise file size limits and will allow more users to work along.
