How to Create an Accountants Copy in QuickBooks?

There are two ways to create an accountant copy, the first is to create a file to put on a USB or the second is on online hosting service. Follow the steps respectively to do so:

Create a file for USB

  1. Choose Save the Company File in the File menu.
  2. Then, click on the Accountant’s Copy, after that choose Client Activities.
  3. After that, you need to click on Save File and press Next.
  4. You require to click on Accountant’s Copy and then, press Next.
  5. You have to add the dividing date and choose Next.

Now, you have QuickBooks accountant’s copy that you can put on a USB. This accountant’s copy QuickBooks has ended by .qbx extension.

Send Client’s File via Accountant’s Copy File Service

  1. Choose Save the Company File in the File menu.
  2. Then, click on Accountant’s Copy and choose Client Activities.
  3. After that, you need to click on Send to Accountant and press Next.
  4. Choose an Accountant’s Copy and click on Next.
  5. You have to add the dividing date and choose Next.
  6. Now, enter the email address of your accountant.
  7. Create a new password for the file that will be required by your accountant.
  8. In the end, you have to select Send.
  9. Now, all open windows will be closed by QuickBooks and sends the file to your accountant. Your accountant can download the file within two weeks.

How to import accountant changes in QuickBooks?

You need to follow two steps in order to import and add your accountant’s data. We have provided you all the steps to import your accountant changes in QuickBooks below:

Step 1: Import accountant’s changes

  • Firstly, you will have a save point only if you forgot to back up your company file.
  • Turn on the Advanced Inventory feature if you are using QuickBooks Enterprise.
  • After that, Open the QuickBooks Desktop and click on the File menu.
  • Click on Send Company File.
  • Now, you need to select Accountant’s Copy.
  • Click on the Client Activities.
  • If the accountant’s changes have been send in the Accountant’s Changes file then you have to click on Import Accountant Changes from File.
  • In the end, you require to search for the file ends with .qby extension.

In case, the Accountant’s Copy File Transfer Service is used by your accountant, then you need to choose the Import Accountant’s Changes from Web. After that, follow the steps to import the changes that will display on your screen.

Step 2: View the accountant’s changes

Your accountant’s changes will be added by QuickBooks automatically. You need to verify that their changes will not conflict with any recent work done by you. And, follow the steps written below:

  • Choose Incorporate Accountant’s Changes only when you are ready to import accountant’s changes. If you are not ready to do so, then you have to choose Close.
  • After that, to confirm the changes, click on OK and shut down running windows.
  • Choose Ok and Close. Another back up of the company file will be created by QuickBooks.

Note: You also need to update the closing date and password of the accountant’s changes. If you want to view those changes later on, then open the folder that contains the company file. Then, you will have a PDF which contains all the import updated.
