Missing transactions in QuickBooks is a common error that can happen frequently in QuickBooks. Sometimes due to human error, some transactions are lost in the system and are not visible when you search for it. There are simple solutions to locate the missing transactions.

Steps to find out missing transactions in QuickBooks

The following is a list of steps that will help you in finding out missing transactions in QuickBooks Desktop. Go through all the steps respectively:

Get the Audit Trail Report

Massive data is stored in the Audit Trail report related to all transactions in QuickBooks Desktop. Audit Trail Report reflects all transaction reports present in QB Desktop, including the omitted or deleted transactions. It gives you total control over all the transactions and entries made on a company file. You can view any historical changes made to transactions, and the entries that were willingly or mistakenly deleted.

To run an audit trail report, simply navigate to-Reports menu and select Accountant & Taxes option and choose the Audit Trail Option. Customize the report as per the required transaction data, sort, and name.

Check the Company File

Here we are looking for an exact transaction file from multiple file collections. A company file contains a vast amount of data with regular alterations done to it. With so many changes made, it is often difficult to locate the exact company file. QuickBooks has an easy solution to it.
Just press F2 on the keyboard to open and sign in to a company file. Therefore,  you have the product information in front of you and can select on the deleted or modified file. This will help you ion finding missing transactions in QuickBooks Desktop.

Check Condense feature

Condense is a feature that assists in removing existing information to a cutoff date or a specific date. It decreases the size of the company file by removing redundant or unwanted data, thereby creating more available space for new data insertion. However, if you use the condense data for the transaction, you would not be able to derive the transaction without technical or expert help.

You can check whether Condense was run on the transaction you are looking for by pressing the F2 key while you are on QuickBooks, in the Product Information section, look for the Condense info on the right side.

Re-enter Missing Transaction

If no success till now and still finding the missing transactions in QuickBooks, the best option is to go ahead and re-enter the transaction. This is because, you have not stored or entered the data in the reports, making the previous methods futile.
