How to Configure Firewall while setting up Multi-Users in QuickBooks Desktop

In case your firewall blocks Internet access you are likely to encounter errors, required for specific QuickBooks programs or files.
When you update your firewall to its latest version chances are, that you will fix this issue or you may require to configure your firewall software.


Configure firewall ports automatically

When the QuickBooks File Doctor is made to run automatically, it opens firewall ports. This tool can thus be used to configure the Windows Firewall.


Manually configure exceptions and ports to your Firewall

To get the port number for QuickBooks 2019 you may try:

  1. Open QuickBooks Database Server Manager.
  2. On the Port Monitor tab, find QuickBooks Desktop 2019.
  3. Write down the Port Number. This is what you must use for your firewall port exception.


Note: If you are planning on amending your Port assignment you can do so by choosing Renew. However, you must visit the Scan Folder and tap on Scan Now to reset your firewall permissions.  You can only renew 2019 ports, 2018 and below use static ports defined below.

QuickBooks Desktop 2018 and other previous versions make use of static ports, with a given range per year version. The port format is followed by them: 8019, XXXXX, XXXXX-XXXXX.


Add Firewall port exception for QuickBooks

IMPORTANT: In case you’ve installed, or will be using many year versions of QuickBooks Desktop, it is important that you conduct the following for every year version.  

  • From Windows search bar, enter then open Windows Firewall.
  • Click on Advanced Settings.
  • Right-clickInbound Rules and choose New Rule.
  • Choose Port, then tap on Next.
  • Ensure that TCP is selected. Enter the specific ports required for your QuickBooks year version, then choose Next.

  • Press Allow the Connection, then Next.
  • In case, prompted, make sure that all profiles are marked. When that is done, you may proceed to press Next.
  • Give the rule a name, such as QBPorts (year). Press Finish when done.
  • Repeat the steps above for the Outbound Rules (for step 3, choose Outbound Rules instead of Inbound).

After you have performed these steps, just try opening QuickBooks Desktop again in QuickBooks multi-user mode or over your network to see if the problem has been fixed.

In case you are still experiencing error issues with connectivity, create exceptions to programs QuickBooks makes use of in Windows Firewall.


Make Firewall exceptions for QuickBooks Programs

IMPORTANT: Now, you may only conduct this if configuring the Windows Firewall is not resolving the problem.

  1. The robust number of firewalls available and their changing versions are resulting in Intuit unable to supply additional configuration steps. You may refer to your software’s documentation or the software publisher’s website for help.
  2. Intuit does not give way to supporting or maintaining any steps on the many internet security programs on the market these days. In most cases, you should be fine while adding the ports above to the Windows Firewall. In case you still meet with errors while you try to open a file over a network or multi-user problems, you may want to try adding the following executable/directories to your 3rd party virus program.


Add QuickBooks ports exception on your Antivirus or Firewall

Ensure TCP is chosen. When that is done, enter the ports that are required for your QuickBooks year version. See the port number for your QuickBooks version in Manually configure exceptions and ports section. In case you have installed or are planning to use multiple year versions of QuickBooks Desktop then you need to add each year’s ports.
